WAP access into Outlook

The application enables an access to the mail server MS Exchange from mobile phone with WAP technology. It offers the same funcionality as mail client MS Outlook.


We log in...

The basic condition of successful logging in are right settings of WAP service in your mobile phone. If you have set your name and password right, Pokud máte navíc správně nastaveno jméno a heslo, you will be authenticate on RAS server and homepage will be downloaded. In other case or in case of anonymous access, you will be offered with logging dialog box where you enter your user name and password. It must be the same as you use for logging to the MS Exchange server from your PC.

Verification of entered data could take some time. Therefore, you could see only information page at the beginning of logging process. 

In case that the logging will fail from any reason, you will be informed about that. You will also have possibility to come back to the logging dialog. An exception could be if your mailbox will not be connected to your name on the Exchange server. You should contact an administrator then. 

You can enter user name in the form either as a domain\name or only name and domain will be filled automatically. If you will have problems to find backslash  ("\") on your mobile phone, you can also use standard slash ("/").

There is a page title in the header which couldn't be seen on some mobile phones. In that case MobilChange title says that you are on the Home Page.

Inbox - a link to the Inbox in MS Outlook. The number says how many messages are unread in Inbox (there are two unread messages in our example). If there are no unread messages there isn't any number.

Calendar - a link to the Calendar in MS Outlook. The number says how many today's meetings are actual. It means meetings that are in the progress at the moment or will be later the same day. If there is any meeting today there isn't any number.

Contacts - a link to the Contacts in MS Outlook. You can search in this folder or you can search in Public Folder, or Global Address Book.

Notes - a link to the Notes in MS Outlook.

Tasks - a link to the Tasks in MS Outlook.

Favorites - a link is not a link to the Favorites in the Public Folder. It is a list of folders you will choose (either from your mailbox or Public Folder). It enables you direct access to these folders. You can create it and change it. The number says how many folders you choose as Favorite.

My mailbox - a link to a list of all folders in your mailbox. You can see the same structure of mailbox as in your MS Outlook. The limitation is only which folders are supported. We support now: Inbox, Calendar and Contacts. We don't support yet: Journal, Notes and Tasks. If the folder isn't supported, it doesn't mean you can't see it. However, you will see it as an Inbox and you can't make any standard operations.

Public folders - a link to the Public Folder in MS Outlook. You can go through Public Folders in the same way as in your MS Outlook.

Settings - a link to the Settings of the application. You can change only language at the moment (only English and Czech).

Phone Book - a link to the company's page with important phone numbers. Content of the message depends on administrator.

About - link to the page with information about MobilChange, including full version number.

Reload - you can refresh all data on the page (number of unread messages and actual meetings).

If you choose Inbox on the homepage, you come to the following page:

Link

We use the same form of page for all folders from "Inbox" and also for folders with unrecognizable content. It is used as a template for all kind of folders and have generall validity. It doesn't depend on type of folder, so it is not described in other folders.

There is a name of actual fodler in the title of page, in our case Inbox. Length of the name of folders is limited to the 14 characters.

There is a link to the Home Page on the first row or to the page where you came from. In our case to the first page. The link connects a list of subfolders of parent's folder in generall, from which you choosed actual folderi.

On the second row is the name of actual folder written in bold. It's not a link and there is twice, because it shouldn't be displayd on all mobile phones. It can have till 30 characters.

Unread  - a link to a list of all unread messages in your actual folder. The number in brackets shows how many messages are there. If there are any unread messages, there is 0 in the brackets and a link is unactive.

(!) It can happen that MS Exchange server doesn't send number of unread messages. Anyway, it is very important data and it start making a manual enumeration of these messages. Because of time demanding process the enumeration is limited to max.10 found unread messages. If there are found 10 messages, enumeration stops and you will see number in the brackets (9+).

(!) In extraordinary cases can happen that the number of unread messages isn't reachable or there is a mistake in finding out the data. In that case the link is active, but with number 0 in the brackets.

All - a link to a list of all messages in your actual folder. Description is the same as by Unread, only limit for manual enumeration is 50 (there can be (49+) in the brackets).

Folders - a link to a list of all subfolders of actual frolder. There is a number of all subfolders in the brackets. There is no link if there aren't any subfolders.

New message - a link to the form for creating and sending a new message.

Add to favorites- a link that enables adding actual folder into a list of favorite folders. You can make easier your access to the most seen folders, mostly in Public Folders. 

(!) Adding to favorite folders is immediate operation. The link to the parent's folder will go to the Favorites folders, which could be a little bit bewildering.

Delete from favorites - a link shows only in the case you choosed actual folder from a list of favorites folders. If you would like to delete some of favorite's folders, you have to choose it from the list. 

(!) Deleting from favorites is immediate operation. After doing it the link to parent's page will be connected to the first page and not to the parent's folder, which could be a little bit bewildering.

Reload - you can refresh data on the page, mainly number of unread and all messages.

Home - a link to the first page.

If you navigate from home page to Calendar link, you receive page which looks like:

Same page format is used for all folders of "Calendar" type, however calendar operations are supported only for default Calendar in your mailbox.

Because of same template is used for displaying all folder types, only description of page parts specific for "Calendar" follows. Other parts are described in previous folder type "Inbox".

Current - link to list of all current appointments, what are all today's appointments which didn't occur yet or are just in progress. Number of such appointments is in braces. If there are no current appointments, zero is shown in braces and link is inactive (empty list has no sense). The same is valid also for following links.

Today - link to list of all today's appointments, what are all whose start time is today before 23:59 (include this time) or end time is today after 0:01 (include this time).

Tommorow - link to list of all tommorow's appointments. Time limitation is similar to previous case but for tommorow.

Next 7 days - link to list of all appointments in next 7 days, starting with tommorow.

Date... - link to form for selecting specific day, for which you can get appointments.

Date is entered in "dd.mm.yyyy" form and is initialized for today. Phones which support input field mask automaticaly switch to numeric mode and fixed part of format (dots after day and month) fill itself. If your phone doesn't support masks, you can change default date or delete it and enter again. For this case are supported also other formats: "ddmm", "ddmmyy" and "ddmmyyyy". If year is not entered, current year is used. If year is specified by 2 numbers only, value of 2000 is added.

View button is the default button on this page and it sends query for list of appointments for selected day.

New meeting - link to form for creation and sending of new meeting or creation of appointment in your calendar.

Where - says which folders will be searched.

Text - text to be found; one or two words separated by space. In case of two words they are connected by logical "and", so only records containing both words will be found. By word we mean any character string, which occurence should be found (so also part of phone number or e-mail address).

Level - level of searched items in record. Higher level means higher time demand of operation.

Search - default button on this page, sends search request for processing.

Home - optional button for return to home page, if you can not start searching.

Listing of messages, meetings, contacts, folders

You get to this page always when you send request from folder menu to get list of messages or list of subfolders or when you start searching in contacts. If you work with "Mail" type folder or folder with unrecognized content, you can display list of unread or all messages. If folder type is "Calendar", you can display list of appointments in selected time frame.

For all list types is used the same template, which differs only in displayed message header - its content depends on message type. Some list examples follow:

Type of displayed messages is written in page title, it depends on folder type and it corresponds to link you have selected in folder menu.

First line is link to menu of folder, from which list was created.

Filter used for list generation written in bold follows. Exception is list of all messages in "Mail" type folder (or unrecognized type) and list of folder without any filter. This filter is duplicit to page title, because on some phones title may not be displayed. If search results are displayed, you can see searched place, text to be found and number of found items.

Then are drawn out headers of individaul messages depending on message type or subfolder names. Number of messages per page is limited to 5 with respect to page size. Exception is list of found contacts - in this case 10 records per page are displayed because of small header size.

Every record has its order number, what simplifies orientation in log lists.

If list is longer than one page, link to next records is created, so pages can look like this:

Links to next / previous pages are displayed only when it has sense. So on first page is never link to previous page similarly like on the last page is not link to next page. Number in braces at the link shows number of records which will be read on the next / previous page.

Menu - optional button linking to next cards on this page. Menu allows list refresh, going to favorite items or to home page.

Now let's look to individual header types based on message type:

Message and unrecognized type

List of flags in bold is displayed behind the record number on the first line with following meaning: Name of message sender in bold is located behind the flag list (which can be of course empty).

Second line contains message subject and link to message text.

Third line contains time of delivery and message size in bytes closed in braces.

Appointment and meeting

Similar to "Mail" item type there is flag list in bold on the first line behind the record number. Behind the flag list is written time frame of appointment or meeting. Date is displayed only if appointment/meeting doesn't occur today, also year is displayed only if it is different from current year. If appointment takes a whole day, "(all day)" flag is shown.

Appointment subject appears on the second line and acts as a link to appointment, or message if it is meeting request.

Other lines can contain optional information:

Contact

Name of contact (Display Name) is displayed behind the record number and concurrently works as a link to contact details. No other data are displayed.

Folder

Folder name is displayed behind the record number and concurrently works as a link to contact details. No other data are displayed.

Title show message type (normal "Message" in this case), current page number, "/" sign followed by total page number to which message was split to. List of possible individual information follows:

Importance - displayed as a flag and only if different from "normal".

Sensitivity - displayed as a flag and only if it is set.

Sender - always displayed. If not present, "(empty)" flag is set.

E-mail of sender - displayed as a link allowing to send new email to the sender, if it is present and different from you.

Recipients and Cc recipients - displayed as shortened lists with total number of recipients in braces and only if present. Link to full recipient list include email addresses follows with possibility to send them a new message.

Sent and Received time - always visible in shortened format, so date is shown only if is different from today and year only if is different than current year.

Attachments - displayed only if exist. It is shortened list with total attachments number in braces.

Subject - always displayed, but limited to 80 charactes, what is so called long line.

Text - text of message. Full content is always displayed and divided to more pages if necessary. Line breaks from original text are preserved, what results in better readability, especially for inserted texts, for example indented by ">" character.

More - default button visible only if text was divided to more pages. It links to next page of text. On the last page it changes to Start button.

Start - default button visible only if text was divided to more pages and you are on the last page. It links back to the first page of message.

Index - default button visible if full message is displayed on the only page. It links to the message list.

Reply - link to the template of reply to this message. Sender of this message becomes recipient of the reply and original subject starts with "Re: " prefix. Original message text include header will be always added to the new message indented by ">" character.

Reply To All - link to the template of reply to this message. Sender of this message and all original recipients become recipients of the reply. Because number of original recipients is unknown, they are hidden and their list can not be edited. You can add additional recipients to the "Cc" field. Original subject starts with "Re: " prefix. Original message text include header will be always added to the new message indented by ">" character.

Forward - link to the template for forward of this message. Original subject starts with "Fw: " prefix. Original message text include header will be always added to the new message indented by ">" character. Additionaly all attachments from the original message will be added ti the new message.

New message - link to form for creation and sending of the new message.

Delete - asks for confirmation of this operation and then delete message.

Mark As Unread - marks message as unread.

Index - link back to list of messages.

Favorites - link to favorites folder.

Title show message type ("Meeting" in this case), current page number, "/" sign followed by total page number to which message was split to.

Because all message types have some common fields, description of fields specific only for "Meeting" and "Meeting request" follows. Other fields are described at the previous message type "Mail message".

Show time as (Busy Status) - is displayed as a flag and only for "Meeting" message, not for "Meeting request".

Time - time range of the meeting. Always displayed in shortened format, so date is displayed only if it differs from today and year is displayed only if is different from current year. If meeting lasts all the day, "(all day)" flag is shown.

Location - location where meeting takes place. Displayed only if not empty.

Organizer - meeting organizer. Displayed only if meeting isn't organized by you.

Message type can be found in the title, what is "Contact" in this case and number of displayed page divided by total page number, which page was split to.

Contact name is on the first page in bold font (Display Name).

Other data are displayed only in case they are present in the contact. Description is sufficient, so no other comment is necessary.

New message

This form is intended for sending new e-mail message and can be accessed from various pages. If you use New message link, you get empty form. If you use Reply or Forward links inside of received e-mail message, some fields of form will be filled in dependency on selected action. Last alternative is to use active e-mail addresses, which are displayed as a links and which set message recipient.

Message recipients must be set correctly to be able to send message successfuly. If any recipient can not be correctly recognized, you'll get list of unrecognized recipients with option to repair them. Unrecognized recipient can be caused by entering ambiguous name, when mail server find more users which match to given name.

You can enter also e-mail addresses of other systems like SMS:+420603899285 or FAX:+420261388225. Application in this case automatically adds square brackets and for fax address sets necessary parameters for Datasys FaxChange application.

Send - default button for creating and sending new message based on entered information.

Cancel - cancel the action and return to page, from which you reached New message form.

New meeting

This form serves for creation and sending new meeting or for changing existing one. You can open it from menu of "Calendar" folder type or from menu of "Appointment" message type.

Start of meeting and duration must be set correctly to be able to create meeting successfuly. Start is set to nearest next hour and duration to 30 minutes. Reminder is set to 15 minutes before meeting, but it works only in clients, which support this function (MS Outlook). If you want to cancel the reminder, delete this field. If no attendies are invited, appointment only in your calendar is created.

In case of existing meeting editation are fields already filled. Invited and optional attendies aren't filled - you can not change these lists, but only add new attendies. Also subject and text of meeting is not displayed, you can not edit them.

Send - default button for creation and sending of new meeting based on entered information.

Cancel - cancel the action and return to page, from which you reached New meeting form.

This form is used for sending response to meeting request and you can reach it from menu of "Meeting request" message type.

Rules

This page can be reached from Settings using Rules link. It displays list of all active rules created in Outlook mail client (active means that it was switched on in Outlook). These rules can be switches on/off, but implementation is based on different principle than in Outlook. Therefore rule in Outlook always seems to be switched on, but if it was switched off from WAP interface, it is inactive. You can activate it again from Outlook by simple switching off, applying changes and switching on.
