Automatic new e-mail notifications and autoforwarding (SMS Forward)

SMS Forward provides you the simplest way to forward selected incoming e-mails to your mobile phone. You can select which e-mail messages will be forwarded by using Rules Wizard.

You can set that some e-mail messages will be forwarded (up to eight SMS messages from one e-mail) and some e-mails will be only notified (one SMS per e-mail).

You can also work with forwarded / notified e-mail - you can reply to this e-mail, forward it to another person (including file attachments) and so on.

Administrator has to allow you to use SMS Forward by setting your mobile phone number in your mailbox properties.

Rules for messages

The easiest way for selecting messages for forwarding is to use the rule (resp. filters) for incoming message in your e-mail client. Following description is for MS Outlook 2000 but the main principle can be used on various e-mail client.

In menu you select Tools and further Rules Wizard. A dialog appears which allows to work with rules. With the button New... you begin the creation of our new rule. Next dialogs follow with samples of entered values.

Rule type

In the first dialog you select the type of rule, resp. (for you) by which circumstance should be the message forwarded. Good selection is Check messages when they arrive

Forwarding conditions

In the second dialog you select the condition when can be each of rules used, resp. (for you) which messages you want to forward. The offer of possible conditions is wide and it is possible to define the amount of forwarded messages. The most common usage - forwarding of messages sent by concrete persons or with specific priority.

For the first reason is set the sent to user: (from people of distribution list), which you check and by clicking the link in the condition you get the chance to select persons whose messages you want to forward. For the priority selection you use the condition marked as importance which you also check and by clicking the link you select required priority.

As you can see, it is possible to enter both conditions at one time, resp. the amount of entered conditions is limited only by the offer of your e-mail client. Next useful condition are: with specific words in the subject, where you can use the message body instead of the subject, the senders field (e.g. forwarding of messages coming from specific domain) or the recipients field. There can be more selected words.

What do you want to do with the message

This step is easy because it is needed to select an item forward it to people or distribution list as an attachment

By double clicking the link in the item you get into the directory in which is needed to select Global Address List and in the item select the recipient MobilChange SMS Forward / Mx_Forward_%server% (for message forward) or MobilChange SMS Notify / Mx_Notify_%server% (for message notification), that should be accounts created by administrator.

Rules exceptions

The fourth dialog allows to concrete the rule by defining the exceptions in which the rule should not be used, e.g. the messages will not be forwarded. If you do not need to make such exceptions, you can continue further.

The name of the rule

The last step is to enter the name of rule - recommended is MobilChange SMS Forward resp. MobilChange SMS Notify - and if you want to make the rule active immediatelly, then let the Turn on this rule box checked. By clicking on the Finish button you create a rule and if everything was entered fine, you will return to the Rules Wizard. Now it will contain your new rule. If you could make some mistake during the rule creation, Outlook would give you a note and offer some correction.

Rules switching on/off

Rules Wizard is accessible from the menu Tools->Rules Wizard and except creation and modification of rules it allows to turn on/off the rule (checkbox status next to name of the rule). By this you get the chance to activate the rule if you are leaving the computer and if you are sitting by the computer, you are getting the information about incoming e-mails from your e-mail client. If you want to modify the rule, you click at the Modify... button and the wizard will guide you through all steps as by creation the rule but the values will be already set and you will do only the changes.

If one rule is not enough ...

If one rule is not enough it is possible to Copy the existing rule and then via modifications to create new one. But you should note that if the message is matching for all of two rules, it will be sent twice. You can avoid this by creating or modifying in the third dialog What do you want to do with the message. To the existing option "forward it ... as an attachment" you add stop processing more rules. Rules are being processed in the order how they were entered and this order can be changed by selecting particular rule and clicking the Move Up or Move Down buttons.
